Basic Job Function:
Manage, coordinate, and execute group assignments for complex or high touch groups turned over by the Sales Department. Monitor all contractual agreements pertaining to guest room blocks, meeting space, food and beverage, AV, Activities and special concessions. Effectively communicate to all hotel departments the information necessary to successfully execute the group's needs while maintaining a good client relationship.
Minimum Requirements: Minimum five (3) years Hotel or Resort Conference Services/Event planning experience required High School Diploma or equivalent credentials College degree preferred CMP - Certification preferred Responds to and manages larger and more complex incoming wedding/catering leads and opportunities for the event. All Beo's/Resumes are completed on time and with accurate information Develops effective up selling plans and actions for groups. Works with resort partners to develop creative ideas and proposes to new ideas to keep Sea Island revelent and growing Assist the Group Sales team to close the best opportunities based on market conditions and resort needs Excellent communication skills, both written and verbal Develop relationships with Seailand Members Ability to make clear and concise business decisions as well as exhibit skills for customer service recovery, if required Maintain Meetingscope pre-and post meeting planner scores of over 90% Mentors CCS/Event Design Coordinators Professionally leads by example in supporting and implementing the conference services, catering, and event design departmental mission Provide guidance and feedback to the catering coordinators, including annual reviews Proficient in Windows XP and Microsoft Office software applications such as: Word, Excel, PowerPoint and Outlook Opera experience and Social Tables preferred Must have ability to courteously present information to people in one-on-one and group situations Thorough knowledge of food and beverage, function set-ups, and front office procedures Goal oriented team player with an aptitude for developing business Work closely with the leaders of CCS & Event Design to prepare monthly forecasts and sales reports Consistently aspires to fulfill our core Company values (Respect, Integrity, Passion, Teamwork, Accountability, Caring, Loyalty & Trust) Exhibits the Sea Island Five-Star Behavior Standards with guests, members and co-workers Must possess a positive attitude and have the ability to work with a variety of people and in cooperation with coworkers efficiently and effectively Must be detail oriented and able to manage competing priorities and multiple deadlines in a fast paced environment Ability to easily adapt to organizational and environmental changes If applicable, must be flexible to working days, early mornings, evenings, weekends, and holidays Report to work at the scheduled time, neatly groomed and in compliance with company Dress Code Policy
Tasks/Responsibilities: Maintain complete knowledge and comply with all company and departmental policies and procedures Communicate and enforce company policies, rules and regulations, provide guidance and direction for staff which supports Sea Island procedures and consistent with federal and state law Follow company and department policies for contracts and payments Coordinate with the executive chef, pastry chef, event design, and set-up manager to plan special requests Guarantee that all definite functions are detailed accurately on BEO's and Resumes, and properly signed and sent to the distribution list on appropriate due date Maximizes revenues and controls expenses through effective negotiation of services and accurate forecasting Monitor changes to BEO's and Resumes and ensure that accurate information is communicated to respective departments on a timely basis in order to provide the best service Ensure files are kept organized and current with all required information Review and provide estimated guarantees and ensure final guarantees are obtained three (3) business days prior to scheduled functions Check room set-up prior to event to ensure all details are in agreement with the requirements and resort standards Follow-up with contact regarding any feedback about the event and/or billing questions Support Human Resources training efforts to drive individual and collective staff development Learn the names and personally recognize our regular Guests and Members Record and bill orders accurately into the register system and process payments using guest/member cards in accordance with accounting procedures Maintain good working relations with preferred vendors of the resort Maintain a thorough knowledge of current guest services, activities, dining options, shops, local attractions, and historical information regarding Sea Island and the surrounding area to answer any questions guests may have to the best of one's ability If applicable, complete a Guest Problem Resolutions (GPR) form on any issues (solved or unsolved issues) and follow-up on issues as needed (if computer access is not available give information to admin support) Maintains cleanliness and organization in all work areas Uphold appropriate departmental standards of quality/timing Uphold and ensure compliance with all company and departmental policies and procedures Report all equipment problems and maintenance issues, known safety hazards, or unsafe practices and procedures to supervisor immediately Attends all scheduled employee meetings and brings suggestions for improvement Willing and timely execution of other duties as delegated by leadership
Physical Requirements: Ability to kneel, crouch, squat, climb, stand, sit, balance, reach, bend, push, pull and walk for prolonged periods If applicable, must have the ability to work for extended time periods in an outdoor environment, including sun, heat, cold, wind, rain, and higher than normal noise levels Ability to perform repetitive tasks with accuracy Ability to lift, carry, pull and push up to 30 lbs intermittently throughout a shift Ability to read, write and communicate effectively in English, both written and verbal May be exposed to mechanical, electrical, chemical and fume hazards Maintain compliance with Company Resort Professional Image Policy
